P&A Non-Renewal of Appointment Letter Checklist

A non-renewal letter for a P&A position must include each of the following provisions:

  1. University job title and corresponding job code
  2. Specific University of Minnesota college/campus/administrative unit and, if applicable, department/division for this position
  3. Employee ID
  4. Percent time of appointment
  5. Length of appointment (e.g. 9 months, 10 months, 12 months)
  6. Actual end date of the appointment; if end date is not within the current appointment period, then note that extension of appointment is being provided but does not constitute a new appointment
  7. Reference notice of non-renewal is in accordance with the University Administrative Policy: Non-Renewal of Appointment for Academic Professional and Administrative Employees at http://policy.umn.edu/Policies/hr/Departure/ACADNONRENEWAL.html
  8. Salary
  9. Referral to resources available within and outside the University (e.g., Employee Benefits, Employee Career Services, etc.)
  10. Refer to University Administrative Policy: Non-Renewal Program for Academic Professional and Administrative Employees, if eligible
  11. Describe any known reassignment of duties during notice period
  12. Signature of responsible administrator
  13. Copies distributed as appropriate
