How can I verify that others can see only my busy times?

The default viewing rights in UMCal allow others to see your busy times but NOT the details surrounding those events. You may verify this by making sure that the default viewing rights on your calendar are set to "view times only."

  1. Click the Edit Access Rights button in the toolbar. The Edit Access Rights button is circled in red in the figure below.
  2. With Default: Any unlisted person selected, click the Edit Access Rights button.
  3. Verify that the View times only radio button is selected for each access level for meetings, day events and daily notes. Also verify that the None radio button is selected for each access level for tasks.
  4. Click OK to save your changes.

How can I hide my calendar from everyone?

You may prevent others from viewing even your busy times. Users will still be able to open your calendar, however they will be unable to view any busy times or event details.

  1. Click the Edit Access Rights button in the toolbar.
  2. With Default: Any unlisted person selected, click the Edit Access Rights button.
  3. Select the None radio buttons for each access level of meetings, day events and daily notes, and tasks. View times only radio button is selected for each access level for meetings, day events and daily notes.
  4. Click OK to save your changes.

How can I prevent others from scheduling with me?

You may turn off the ability of other users to propose meetings to you through the access rights screen. By default, other users are able to propose meetings to you.

  1. Click the Edit Access Rights button in the toolbar.
  2. With Default: Any unlisted person selected, click the Edit Access Rights button.
  3. Uncheck the Can invite me to Entries checkbox.
  4. Click OK to save your changes.

How can I grant a user rights other than the defaults?

You may add users to your access rights listing to grant them rights that are not the defaults.

  1. Click the Edit Access Rights button in the toolbar.
  2. Enter the beginning portion of a user's first or last name, or their full Internet ID, in the search field. Click Find.
  3. Select the desired user from the access rights list. Click Edit Access Rights.
  4. Click Customize in the viewing section to allow changes.
  5. For example, to allow this user to view the details of normal events but times only for confidential and personal events, select the View Entries radio button for normal events and be sure that View times only remains selected for confidential and personal entries.
  6. Click OK to save your changes.

How can I set the access level for an event in my agenda?

Open any entry in your agenda. The access level may be set using the Access drop-down menu.


How can I change the default access level for events I add to my agenda?

  1. Click the Preferences button in the toolbar.
  2. Click the Entry Defaults link.
  3. The default access level for any event type may be changed from this screen. Note that the default access level is normal for all events except tasks, which have a default access level of personal. Changes to the default access level will not affect any entries already in your agenda, only entries created after the change.
  4. Click OK to save your changes.
