Eastcliff Event Guidelines

Eastcliff is both a home and a historic gathering place. As such, there are a number of special guidelines pertaining to the use of Eastcliff events. Only University of Minnesota departments and offices are eligible to host events at Eastcliff. The following is a list of general guidelines to assist you in planning for your event at Eastcliff.
  • Nametags are required for guests at Eastcliff. If the unit sponsoring the event does not provide nametags, Eastcliff will do so for a charge of $0.25/per nametag. Guest names may be provided in an Excel format to the Eastcliff Management office at least three days prior to the event.
  • The Eastcliff dining room cannot accommodate sit-down meals of more than 42 guests. Indoor receptions must be limited to 125 guests. The size of our dining room prohibits buffet style meals - they must be plated and served by your caterer. Boxed lunches and drop off trays for meetings and retreats must be accompanied by service from your caterer. Please speak with the Eastcliff House Manager for information about guest numbers at outdoor receptions.
  • You must forward the guest list, invitation and catering contract to the Eastcliff office at least one week prior to the event. Download the list of frequently used caterers (PDF 47 KB).
  • Many events add music - we have a Steinway piano in the living room. Please see the list of frequently used Musicians (PDF 53 KB).

The caterer must provide the following:

  • Coffee, regular and decaffeinated (if this is on your menu)
  • Sugar and cream (if this is on your menu)
  • Tea (if this is on your menu)
  • Lemon slices in the water glasses, limes for the bar
  • Dish towels and dish soap
  • Food preparation tools, including knives
  • Bread baskets, linens for the baskets, bread and butter (Unless otherwise noted)
  • Chaffers
  • Appetizer plates and glassware for groups of more than 200
  • Linens for the tables and linen napkins for meals

Eastcliff will provide items for your event:

  • Ice
  • Silver flatware, china and stemware for dinners of forty-two and under
  • Stemware, silver flatware and plates for receptions up to 125 guests
  • Miscellaneous serving trays and serving pieces
  • Cocktail napkins
  • Floral centerpieces
  • One staff person

Serving alcoholic beverages at Eastcliff:

  • When planning an event at Eastcliff you do not need a University of Minnesota liquor permit. Eastcliff is covered by a blanket alcohol permit under the auspices of the Office of the President.
  • Plan for 2.5 glasses of wine per guest. There are 5 glasses per bottle.
  • Generally your caterer can provide wine for your event. You may also order wine directly from a liquor store.
  • If you purchase liquor and have it delivered we suggest that you provide only one kind of white wine, one kind of red wine for events. You may want to add one or two types of beer, a regular and a "lite", but generally beer is not a popular beverage. Please let the Eastcliff Management Office know when your order will be delivered.
  • Please provide order non-alcoholic beverages as well.
