A Paperless University? We're on our way...

During the last two weeks of January, OIT implemented the document imaging software, ImageNow, to two departments on two campuses. Document imaging has the potential for significant savings over paper document filing, retrieving, and storage as well as business process improvements.

The Office of the Registrar–Twin Cities is replacing an older scanning system with ImageNow. During their implementation week, we set up scanning methods for multiple document types, trained their staff on the product and even created a simple workflow to improve the efficiency of their processing.

For Office of Financial Aid and Registrar – Duluth document imaging is new. For their Registrar’s area, we basically replicated what we had created for OTR – TC the previous week, so they were up and running very quickly. For their Financial Aid area, we set up scanning and indexing for multiple documents and created a simple workflow. We also spent time working on barcode technology with them, so they can add bar codes to their 2004 documents. We are lucky to have the well-defined “paperless” Financial Aid – Twin Cities workflow from which to work.

We are very pleased with how the pilots went. During the month of February we will take the lessons we learned during the pilots to improve the implementation processes and resolve the technical issues that surfaced. In February we will also be creating the implementation schedule for the rest of 2003, to bring this technology to interested departments and colleges throughout the University of Minnesota.
