 Accounts Receivable Monitoring

Course Description
This online course provides an overview of how nonsponsored accounts receivable are accounted for at the University. Participants will review policies and procedures related to accounts receivable, the financial system processes, and reports. Specific emphasis will be on the monitoring activities associated with accounts receivable balances and collections. An online assessment will be available at the end of the course.

 Asset Accounting

Course Description
This online course discusses how capital assets are accounted for on the balance sheet at the time of purchase, and the impacts depreciation expense will have on a department’s monthly balances. Participants will get an overview of balance sheet items, asset accounting, and reporting specific to assets and depreciation expense.

 Asset Management

Course Description
This online course provides an overview of the methods used to record capital assets in the financial system. Participants will understand the type of information that is critical to record for a capital asset and will be able to complete request forms to add, update, or change information related to capital asset. This tutorial takes about 30 minutes to complete. An online assessment will be available at the end of the course.

 Bank Card Reconciliation

Course Description
This online course provides an overview of the process for reconciling point-of-sale bank card payments. Participants will also review policies and procedures related to accepting bank card payments. An online assessment will be available at the end of the course.

Basic Accounting 

Course Description
This online course provides an overview of Basic Accounting principles. Participants will understand how to use debits and credits to balance entries in double-entry accounting, as well as how fund accounting is used at the University. The course will define when the accounting periods at the University begin and end within the fiscal year, and explain what assets, liabilities, equity, revenue, and expenses are and how they affect the financial picture and work into the accounting equation.

Assessment Description
At the end of the course, participants will be directed to take a final assessment which covers the Basic Accounting course content. The Basic Accounting assessment gauges the participants ability to:
  • Define when the University's fiscal year begins and explain accounting periods.
  • Understand what assets, liabilities, equity, revenue, and expenses are and how they affect the financial picture.
  • Understand how to use debits and credits to balance entries in double-entry accounting and the accounting equation.
  • Understand how fund accounting is used at the University.

Participants will have three attempts to pass the assessment. If for some reason the assessment is not passed within three attempts, please contact your RRC manager.

Assessments are available after class completion at www.myu.umn.edu.


Basic Accounting II 

Course Description
This online course provides a more detailed review of basic accounting principles. Participants will review the different types of assets, liabilities, revenues, and expenses. An overview of the key financial statements used by the University will be provided

Prerequisite: Basic Accounting

Assessment Description
At the end of the course, participants will be directed to take a final assessment which covers the Basic Accounting II course content. Completion is required to proceed to additional courses.

Participants will have three attempts to pass the assessment. If for some reason the assessment is not passed within three attempts, please contact your RRC manager.

 Budget Journals

Course Description
This instructor-led course discusses budget adjustments policies and procedures, when and how to use commitment control to enter and process budget journals, when and how to use the General Ledger to enter and process budget journals, how to enter and process a budget transfer, how to view and solve budget errors, and how to search and review budgets for ChartField Strings.

Chart of Accounts 

Prerequisite: Basic Accounting. This prerequisite must be completed the day before training. Reminder e-mails will be sent out the week prior to your scheduled session.

Course Description
This course provides a detailed review of the new financial system's Chart of Accounts structure and the importance it plays in the financial well-being of the University. Participants will understand the importance of the ChartFields and how to select the appropriate codes to complete the account string. Through group exercises and discussion, participants will apply the concepts learned in class using the Chart of Accounts manual (pdf).

Assessment Description
At the end of the course, participants will be directed to take a final assessment which covers the Chart of Accounts course content. The assessment will address these competencies.

Knowledge:

  • Define Chart of Accounts.
  • Demonstrate understanding of the University financial structure, including trees, fund accounting, etc.
  • Recognize the role of the Chart of Accounts in the financial process, from budgeting through reporting.
  • Access, understand, and accept responsibility for the code of conduct and internal controls.
  • Identify where Chart of Accounts resources are located.

Functional Skills:

  • Identify the 11 ChartFields of the financial system Chart of Accounts, and explain their purpose, characteristics, and parameters.
  • Use the Chart of Accounts manual to correctly answer questions. Apply the Chart of Accounts to individual financial roles.

Participants will have three attempts to pass the assessment. If for some reason the assessment is not passed within three attempts, please contact your RRC manager.

Chart of Accounts Refresher 

Course Description
This online tutorial provides a review of the new financial system's Chart of Accounts structure and the importance it plays in the financial well-being of the University. Participants will understand the importance of the ChartFields and how to select the appropriate codes to complete the account string. This course is designed to be a review and should be taken in addition to the classroom Chart of Accounts session. Through self-paced exercises, participants will have a chance to practice the concepts learned using the Chart of Accounts manual (pdf).

Create Bills 

Course Description
This instructor-led course provides an overview of the policies and procedures related to nonsponsored accounts receivable at the University. Participants will learn what constitutes a nonsponsored receivable and how to use the financial system to generate a bill for a customer. An online assessment will be available at the end of the course.

 Create Requisitions

Course Description
This instructor-led course provides hands-on instructions for completing the different types of purchase requisitions in the financial systems. Participants will review policies and procedures related to purchasing, the different types of requisitions available, and the process to complete a requisition. This course includes both purchases of standard goods and services and professional services. It does not include procurement card (P-Card) purchases. An online assessment will be available to participants at the end of the session.

Departmental Deposits 

Course Description
This online course reviews the policies and procedures for handling departmental deposits associated with non-sponsored accounts receivable transactions. This includes deposits resulting from billed receivables, point of sale activities, and other miscellaneous types of deposits. Participants will review the process for handling deposits and record it correctly in the financial system. An online assessment will be available at the end of the course.

Endowments 

Course Description
This instructor-led course provides a detailed review of the endowments process from a department’s perspective. Participants will review all policies and procedures related to endowments and discuss the process for recording and changing an endowment in the financial system. An online assessment will be available at the end of the course.

Financial System Closing Process 

Course Description
This online tutorial provides an overview of accounting periods, module closing, interim closing, and year-end closing schedules. It takes approximately 30 minutes to complete. There is no competency assessment for this course.

Financial System Navigation 

Course Description
This online tutorial is intended to give a brief overview of the navigational features of PeopleSoft. It can be used as an introduction before attending financial system courses in April, or it can be used as a refresher after attending training. This tutorial is not intended to teach advanced features like searches, inquiries, and reporting.

HRMS Impacts 

Course Description
This instructor-led course reviews the impacts of the financial-system rollout on the Human Resource Management System (HRMS). Participants will receive an overview of the key financial-system connection points, the changes to the distribution lines and chart of accounts, and instructions for recording cost share in a distribution line. This course is only offered during the implementation of the financial system. This course will include a competency assessment at the end of the course.

Journal Entry 

Course Description
This instructor-led course provides an overview of what constitutes a journal voucher in a department, the accounting principles surrounding journal vouchers, and how to process a voucher in the financial system. Participants will understand how to create and change a journal voucher. An online assessment will be available at the end of the course.

 PCard Reconciliation

Course Description
This online course provides an overview of the process for reconciling the PCard statement with receipts and assigning purchases to the correct account string. Participants will review PCard policies and procedures, the PCard calendar and the process for reconciling in the financial system. This tutorial will include an overview of troubleshooting procedures for the PCard. An online assessment will be available at the end of the course.

 Procurement Specialist

Course Description
This instructor-led course provides detailed instructions on the various responsibilities of a procurement specialist. Particular emphasis is placed on the areas of high risk and financial compliance that a procurement specialist is responsible for, such as change orders, contracts for professional services (CPS), and error resolutions. An online assessment will be available at the end of the course.

Purchasing from U-Stores 

Course Description
This online course provides an overview of the financial system, Chart of Accounts, and purchasing for U-Stores. Participants will learn how to navigate to U-Stores and place a U-Stores order within the financial system. This course is for non-financial staff (faculty, lab staff, and administrative staff) who make purchases through U-Stores only and will have */no/* other responsibilities that will require them to use the financial system. An online assessment will be available at the end of the course.

Course Description
This instructor-led course provides an in-depth review of the policies and procedures associated with payments to external vendors and internal sales transactions. Participants will use case studies and hands-on examples to review the various types of payment vouchers. This course will cover an overview of vendor and tax-related issues necessary to correctly process payments to vendors. An online assessment will be available at the end of the course.
