This memo is an update on what will be happening with the AIS Legacy Student Data Base system. This will not affect your PeopleSoft security access.
On Thursday, Dec. 30th, 1999 at 12:00 p.m. the security office will begin changing access for all current users from update to display only for all options on AIS Legacy Student Data Base screens. You will no longer be able to update information on the AIS Legacy Student Data Base. You will still be able to update the APAS/DARS options if you currently have access.
In order to make changes to historical student information after Dec. 30th, a student will need to be converted into the PeopleSoft system and the changes made there.
If you have student records information that needs to be updated or added by the Registrar's Office, such as grades from previous quarters, please make sure and have that information to our office as soon as possible. The Registrar's office will also not be able to make changes to students records on the AIS Legacy Student Data Base after Dec. 30th.
Most options that you currently have will remain on your menu for display purposes only. These will remain for at least a month, possibly longer, to be used for information and troubleshooting purposes. Please remember that this information will not be updated after Dec. 30th.
At some point we will remove all options except the Student Record Display screen 01 (1-5), Transcript request screens 25/27 and the APAS screens 31-35.
You will still need your SecureID card. You will still be able to view the information on options that you have had in the past. Also you will be able to run a transcript for students on the old legacy system that will include coursework through IISS 1999. This transcript will not include coursework for Fall 1999 or later.
You will be able to get a complete PeopleSoft transcript for those students who have been converted to PeopleSoft once grades have been posted for Fall.
You will still be able to update APAS information and run APAS reports. Again, student coursework on APAS reports will only be through IISS 1999, it will not include coursework Fall 1999 or later. Transfer work will be current, up to date information.
