Much is happening in the Student Records area that will affect you and your colleges. Here's an overview.

RECORD CONVERSION continues. This week we begin converting historical student records of students from 1993 to 1998 on the Crookston, Morris and Duluth campuses. We are rewriting the program that will allow the conversion of UC and dept Master's course work.

• Grades are due by January 5 for the Twin Cities campus. We will be delivering the grade "bubble sheets" this Thursday and Friday to departments on the Twin Cities Campus. The other campuses will be receiving their grade sheets shortly.
  
  
• Please encourage faculty to return grades by January 5 for Twin Cities, so we can get accurate probation reports, Dean's List, and other information to colleges and advisors in a timely way.
  
  
• The grade forms are different but the process is the same as always. If you want your own copy of the grade sheets, copy the "bubble sheet" but be sure to return the original to OTR.
  
  
• The Interactive Voice Response System (the Gopher Line) may not be available for students to call to find out their grades. Students will be able to use the Web to view their grades.

Because record conversion has been delayed, we will not be able to produce a "single" transcript by the end of Fall Semester for students who have taken University College course work or for students classified as departmental masters. So here's what we're doing:

• The Student Data Base transcript is now Y2K compliant so colleges will be able to print a transcript. We will keep viewing capability up on the Student Data Base, but remember no updating can occur since it is not Y2K compliant. Likewise, OTR will be able produce official transcripts for students who completed course work prior to Fall Semester, 1999.
  
  
• The challenge is to calculate a cumulative GPA in PeopleSoft. We are working on resolving this issue.
  
  
• The PeopleSoft transcript will be available after fall grades are posted. Transcript training will be rolled out slowly because we want to watch how the system performs. More to follow on training.

An Excel file will be provided to colleges with the names of students who do not meet minimum academic requirements for satisfactory completion. The data warehouse folks can assist you if additional information is needed. Grades need to be submitted and entered first though.

System performance has improved markedly since Web Registration reduced the number of users at one time from 300 to 210. We are seeing record high class adds and drops (around 20,000+ each day), which means students are able to register more quickly.

Previously, colleges have had to enter Dean's List information into the Student Data Base. Now, we can eliminate the data entry for the colleges and provide you with an Excel file which you can download that will include the students' program/plan, advisor and home address. Again, after grades are submitted and entered.

The Intersession flyers distributed around the Twin Cities campus have the wrong date to register in order to receive financial aid for Intersession classes. Students may register for Intersession through January 31. Otherwise, students can register through May 23 with no approval required to add or cancel classes. May 25-25 students will need Instructor approval to add; May 26-31students need Instructor approval and college scholastic committee approval to add; and June 1-9, college scholastic committee approval to cancel and Instructor approval and college scholastic committee to add.
