Windows Outlook Express 5 Configuration

These are basic instructions for configuring Outlook Express to access your University e-mail account. If you are using a departmental account, you will need to alter some of the information accordingly.


E-mail

If you are starting Outlook for the first time, it will begin a wizard to set up your e-mail account. If it does not, you can start the wizard manually.

  1. Go to the Tools menu and select Accounts....
  2. In the Internet Accounts window, click the Add button and select the Mail... option.

  3. Enter your name as you would like it to appear on your email in Display name: field.
  4. Click the Next button.
  5. Fill in E-mail address which is of the form <Internet ID>@umn.edu (e.g. user1234@umn.edu).
  6. Click the Next button.
  7. For My incoming mail server is a select IMAP.
  8. For Incoming mail (POP3, IMAP, or HTTP) server put your e-mail server, which is of the form <Internet ID>.email.umn.edu (e.g. user1234.email.umn.edu).
  9. Place smtp.umn.edu in the Outgoing mail (SMTP) server: location.
  10. Click the Next button.

  11. Enter the Account name: which is your University Internet ID (e.g. user1234).
  12. Enter the Password which corresponds to this account.
  13. Do NOT select Log on using Secure Password Authentication (SPA).
  14. Click the Next button.
  15. Click the Finish button.

  16. In the Internet Accounts window, click the Mail tab, then double-click your account name, this will open the properties window.
  17. In the Account Properties window, click the Servers tab.
  18. Under Outgoing Mail Server, check next to My server requires authentication.
  19. Click the Settings button.
  20. In the Outgoing Mail Server window, under Logon Information, check Use same settings as my incoming mail server and click the OK button.

  21. In the Account Properties window, click the Advanced tab.
  22. Under Server Port Numbers, next to Outgoing mail (SMTP): type 465 and check This server requires a secure connection (SSL).
  23. Under Server Port Numbers, next to Incoming mail (IMAP): type 993 and check This server requires a secure connection (SSL).
  24. Click the OK button.

Newsgroups

  1. In the Internet Accounts window, click the Add button and select News... option.
  2. Enter your name as you would like it to appear on your messages in Display name: field... click the Next button.
  3. Fill in E-mail address which is of the form <Internet ID>@umn.edu (e.g. user1234@umn.edu)... click the Next button.
  4. Place news.tc.umn.edu in News (NNTP) sever:.
  5. Do NOT select My news server requires me log on.
  6. Click the Next button.
  7. Click the Finish button.

Directory Services

  1. Click the Add button and select the Directory Services... option.
  2. For Internet directory (LDAP) server enter ldap.umn.edu.
  3. Do NOT select My LDAP server requires me to log on.
  4. Click the Next button.

  5. Click the Next button.
  6. If you wish to check the University directory every time you address a letter, check Yes.
    • NOTE:
      This setting will automatically finish an address for you, which can be problematic if a list's name is similar to an individual user's name.
    • Microsoft's search filters look for a string of characters at the beginning of a field. Thus, as long as you include the beginning portion of first and/or last names, you should find the person you were searching for. For example, if you were searching for Michael Richardson, you could look for Mich Rich and you will succeed. You will also get Richard Michaelson, etc. However, if you are look for Michael ardson, you will not find Michael Richardson. If this user has set up a nickname of Mike, then a search for Mike Richardson should be successful as well.
  7. Click the Next button.
  8. Click the Finish button.

Next you must customize the Directory Service settings to work with specific requirements for the University.

  1. Select the Directory Service tab.
  2. Choose the entry with the name ldap.umn.edu.
  3. Click the Properties button.
  4. The settings for the General tab can be left as they are.
  5. Click the Advanced Tab.
  6. The Server port number for the Directory service (LDAP) should be set to 389.
  7. Do NOT check the box next to This server requires a secure connection (SSL).
  8. Change the Search timeout: to 30 seconds.
  9. Fill in Search base: with o=University of Minnesota,c=US.
  10. Leave remaining box, Use simple search filter, unchecked.
  11. Click the OK button.

Options

You can further customize Outlook Express by setting some options. If you wish to set up the mailer with specific options, you can do this by selecting the Tools menu and the Options... command. Some of the standard options that you can change will be found under the General tab.

Under the Send tab you may want to set the Mail Sending Format to Plain Text. (This makes it easier for people using other mailers.) All others options are user preferences. Users can look at other tabs, but no other changes are necessary.

NOTE:

  • Send messages immediately, if left deselected, will allow you to send multiple messages at once over dial-up. This can save you connection time when sending messages to several people.
  • Check for mail every __ minutes should be selected only if you have an always-on connection. The computer will dial periodically if you have a dial-up modem connection and this option is selected. Also, this setting should never be set to below 15 minutes. This option will tax the system greatly if Outlook checks for mail often.

Configuring the Address book

To set up the address book, you will need to select the Tools menu and select the Address Book command.

  1. To create a new individual address press the New Contact button.

  2. Enter all desired information.
  3. Enter the correct e-mail address.
  4. Click the OK button to close the Address Book - Main Identity window.
  5. Click the Add button to add another entry.

  6. To create a new list of addresses press the New Group button.
  7. Enter in a Group Name.
  8. Click the Select Members button.
  9. Click the New contact button if the desired address is not currently in your address book.
  10. Select the desired members for the created list.
  11. Click the OK button to close the Select Group Members window.

Using Outlook Express

You are now ready to send and receive mail using Outlook Express. To view any new messages, you will need to press the Send and Receive button, or pull down Tools and select Send and Receive. Your messages will appear in the Inbox.

To send a message you can press the New Mail button, or pull down the File menu and select New and Mail message. This will open an untitled mail sender window. You can compose e-mail messages from this location.

To use the address book when you are in the Sender, you can double-click on the icon next to the desired field (To:, CC:, etc.) This will list the items in your personal address book.

To search the University of Minnesota on-line directory, select the Edit menu, and the Find command, then People... option. Select the X.500 directory for Look in.
